Key Responsibilities
• Greet clients, visitors, and guests warmly.
• Handle inquiries by answering questions and providing necessary information.
• Answer, screen, and forward phone calls; take and relay messages.
• Coordinate and manage appointments, meetings, and events.
• Manage incoming and outgoing mail and emails.
• Maintain and update records, files, and databases; prepare reports.
• Order and monitor office supplies; ensure the front office is well-stocked.
• Ensure office equipment is functional; arrange for repairs when needed.
• Maintain a clean and organized reception area.
• Communicate with clients, vendors, and service providers; address any issues.
• Handle basic billing tasks and process payments if required.
• Maintain visitor logs and ensure security protocols are followed.
• Monitor and manage office access to ensure security.
• Assist with internal communications and support various office needs.
• Help new employees with orientation and setup, including issuing ID badges.
• Address and resolve any issues or conflicts that arise in the front office.
• Follow protocols and act as a point of contact in emergency situations.
• Assist with special projects, data entry, research, or coordination of company events.
